What exhibitors need to know.

The Meetings Show is the UK’s leading event for the meetings, incentives, conferences and events industry, held every June in London, now at ExCeL. The 2026 show welcomed 4,292 attendees, including 1,181 buyers, and 575 exhibitors, with more than 80 international destinations represented.

The audience is corporate event planners, agencies and associations, many on the hosted buyer programme with appointments booked before they arrive. Exhibitors are the places and partners they book, from destinations, venues and hotels to DMCs and event technology. Planners come to source venues and destinations for the year ahead, and the appointments on the floor turn directly into RFPs.

Your stand is where those appointments happen, and where a planner decides whether your place is right for their next event. Both shell scheme and space only plots are available, from small presences to large destination pavilions. Planning a space only stand or pavilion? Working with exhibition stand contractors who know ExCeL stops being optional.

Why this sector is different

Every conversation here is on a schedule.

The Meetings Show runs on appointments. Hosted buyers come with a schedule of back-to-back meetings and a list of events that need a venue or destination. Between appointments they’re walking fast, and they’ll only stop if something catches them. Most of the business is done sitting down, twenty minutes at a time.

A real sense of place, with the materials, imagery, flavours and atmosphere of your destination or venue. Appointment tables that are comfortable, private enough to talk budgets, and ready for the next meeting. And a welcome for walk-ups between appointments, because some of the best leads aren’t in the diary.

Why Rocket-X

Built to make the meeting count.

We design and build exhibition stands for The Meetings Show, from bespoke stand design to shell scheme and space only packages. We’ve built at The Meetings Show before, and we know what this floor needs. Two days of hosted buyer appointments, 570+ destinations, venues and suppliers, and an audience of planners who judge every stand as a preview of the real thing. Stands have to work as a meeting space and a shop window at the same time.

So we build for both. Appointment areas are designed for back-to-back meetings, so they’re comfortable, private enough to talk budgets and easy to turn around, with acoustic panels and charging built in. Destinations and venues come to life through materials, lighting, LED walls and AV, and a hospitality bar serving coffee or cocktails gives planners a genuine taste of the place. For destination pavilions, we can create one strong identity with individual partner pods, so every hotel and venue under the banner gets its own space. Then we review what worked, so next June’s stand does even better.

We don’t build stands. We build the story your brand tells on the show floor. Every material, layout and lighting choice serves the narrative.

Heat mapping and visitor tracking available on request, plus a post-show review on every project. We prove what worked, not just what looked good.

LITE, READY and CUSTOM. Three clear ways to exhibit, three clear price points. You always know exactly what you’re getting, before you commit.

Your win is our win. We review the results together, and we’re genuinely invested in your next show being even better than the last.

Pick your launch pad.

The venue

Exhibiting at ExCeL London.

ExCeL runs a tight operation, and most of what your stand needs, from power and water to internet and hanging signs, is ordered through the venue in advance. We handle the logistics and the orders. Here’s what’s worth knowing for your stand and your team.

Plan for back-to-back meetings.

Hosted buyers run to a tight appointment schedule. Plan enough tables for your busiest hour, and a place for the next meeting to wait.

Order a dedicated connection.

ExCeL supplies internet in-house. For destination films, virtual venue tours and appointment systems, a wired line is essential. We order it early and test it before doors open.

Hanging signs help you be found.

A sign above your stand is the easiest way to be spotted across a busy hall. ExCeL’s own team rigs it and it needs ordering early, so we can design it in from the start.

Order services early.

Power, water, internet and rigging all come through ExCeL, and late orders usually cost more. We spec everything with your stand and order it well before the deadlines.

Build in storage.

Literature, giveaways and your team’s bags need somewhere to go. We can build storage into the stand, so the front stays open and uncluttered all day.

Come by train, not car.

Parking is paid once the show opens. Custom House (Elizabeth line & DLR) is right by the entrance, so it’s the easiest way in for your team.

We handle the logistics: plans, approvals, service orders, build & breakdown. You turn up to a finished stand & leave once the show's over.

Before the show

How to make an impact at The Meetings Show.

Two days, 570+ exhibitors and planners with diaries already full. Here’s how to make the most of it, from first plan to next year’s booking.

01.

Fill your diary before the doors open.

Hosted buyer appointments are booked in advance. Make sure your diary is full before you arrive, and plan the stand around how many meetings you’ll run at once.

02.

Build for back-to-back meetings.

Comfortable seating, enough tables for your busiest hour and a little privacy for budget talk. A cramped meeting is a bad preview of your venue.

03.

Bring the place to life.

Materials, imagery, food, drink and sound can give a planner a feel for your destination or venue before they ever visit. Make them want the site visit.

04.

Make walk-ups welcome.

Some of the best leads aren’t in the diary. Keep an open, inviting front for planners passing between appointments.

05.

Follow up before the RFPs close.

Planners are sourcing for events months ahead. Send proposals, site visit invitations and availability within days, while you’re still on the shortlist.

06.

Rebook before you leave.

Many shows sell next year’s space before this one ends. Rebook, tell us your plot, and we can start on next year’s stand straight away. When we debrief the show, we’ll know what worked this time, so we can make your next stand work harder and give you better return on investment.

The smart way to exhibit

It gets smarter every time you come back.

We build exhibitions to work harder over time. By reusing and refining crafted elements across multiple shows, we reduce waste, retain what works, and make every next build more efficient than the last. Show one makes an impact. Show two builds on it. That’s how exhibiting should work.

Built responsibly

Good for your brand. Good for the PlANeT.

We build with reuse in mind from the start. That means fewer one-use builds, less waste, and exhibition stands designed to work harder over time. We use FSC- and PEFC-certified timber wherever possible and make smarter material choices at every stage. Because sustainability should be built in, not added on.

As soon as you've got your space booked. For a late-June show, that means briefing us by the end of March at the latest. 12 to 16 weeks gives time for design, review, revisions and production without rushing any stage. You don't need a finished brief to start. Your plot size, rough goals and a budget range are enough for us to tell you what's achievable.
You don't need a finished brief. You need your stand size or plot reference, a rough sense of your goals and a budget range. From those things, we can tell you what's achievable.
